What is McGoogan Docs?

McGoogan Docs is the online system you use to request an item through Interlibrary Loan. It is a fully integrated system that allows you to request articles and books that the library does not have access to or copies of articles and book chapters in the library collection. Items will then be sent to your McGoogan Docs account and you will be able to log in and retrieve the full-text.

Who can use McGoogan Docs?

All UNMC affiliates may request items through McGoogan Docs. These affiliates include classified UNMC students, faculty, and staff, employees and private practice physicians with The Nebraska Medical Center, Bellevue Medical Center, and Children's Hospital, visiting students and faculty to UNMC, and UNMC alumni. Nebraska health professionals, lawyers, and residents, as well as Western Iowa professionals and residents may also request items. If you are not a member of one of these groups, please contact your public library for assistance.

I am ordering for someone else. What do I do?

If you are an office or graduate assistant who is ordering for a faculty member, for instance, you must use their existing McGoogan Docs account or create an account for that person in their name. This is necessary for copyright tracking. The McGoogan Docs system, unfortunately, will not allow a single login to manage multiple accounts. When registering, please provide the names of all of the people who are authorized to access this account in the Authorized Users field. If necessary, please provide the faculty member with the login information. There should only be one account for one individual. You may enter multiple email addresses, separated by a comma, but no spaces after the comma.

I am a UNMC / Nebraska Medical Center / Children's Hospital / Bellevue Medical Center employee, but also am a UNMC student. What do I do?

If you are an employee of UNMC, The Nebraska Medical Center, Bellevue Medical Center, or Children's Hospital but also a UNMC student, you only need one McGoogan Docs account. When registering or updating your account information, please register with your employee information. In the Authorized Users / Notes field, please state that you are a UNMC student and the program in which you are enrolled. When choosing Billing Methods, be sure to select the "Student 50 Fund" as one of your methods and use that method when ordering as a student.

Are there fees associated with requesting items through McGoogan Docs?

To help cover costs that the Interlibrary Loan department incurs through other libraries, technology maintenance, and copyright, a nominal charge is applied to all requests. However, if an item is received from one of the other NU libraries, the charges will not be applied.

Other charges

  • Additional $5 for Rush requests. Students must pre-pay for Rush/Urgent
  • Copyright surcharge - Affiliates - additional $31 (for instances when the individual requests a 6th articles from a single journal title dated within the last 5 years OR if the individual requests more than one article from a single issue). / Non-affiliates - current rate as determined by the Copyright Clearance Center (Students must pre-pay)
  • If the library is unable to obtain a loan of a dissertation, a hard copy can be purchased from ProQuest on your behalf. The ILL Department will inform you of the current, cost-recovery cost. Students who use this option will have their request counted as 2 items towards their 50 free requests.
Failure to pay invoices may result in your McGoogan Docs account being blocked until payment is made.

Can I request an item for personal reasons or if it is one that I have authored?

It is our policy that we will only process requests that are related to your work or UNMC education. Requests that are personal in nature can only be related to your current professional, educational or medical needs. If you are a student from another institution, please utilize the Interlibrary Loan services at that library. For leisure or popular titles, please contact your local public library for Interlibrary Loan assistance.

Requests for articles that you have authored are only acceptable if the article is for your own personal files. Original publisher PDFs cannot be guaranteed. For a publisher quality copy or for copies that are intended to be distributed, please contact the publisher directly for reprints and permissions.

What are service levels and when will my request be processed?

A service level is the priority that you would like your request handled. The default service level is Regular. The Interlibrary Loan Department processes requests throughout the day (Monday - Friday). Requests made after 3:00 p.m. may not be processed until the following business morning. The average turnaround time from request to receipt is 1.5 days. If you need an item the same day, please request it as a Rush or Urgent Patient Care, when applicable. The Interlibrary Loan Department will do everything possible to get the item to you in an expedited manner; however, requests made at the end of the business day may not be received in time.

There is an additional charge of $5 associated with Rush or Urgent Patient Care requests. These charges do apply to students despite their 50 free requests. STUDENTS MUST PRE-PAY FOR RUSH/URGENT. Payment can be made in person at the library or you may call the department at 402-559-7085 with a credit card number.

What is the turnaround time for requested articles and books?

If the library owns the print version of a journal, you will receive a scanned copy of the article the same or next business day. If we need to request the article from another library, the average turnaround time is 1.5 business days. Books requested from other libraries can take up to a week or more.

What do the various request status designations mean?

Your request moves through several processing queues. The most common are:

Awaiting Copyright Clearance - all article requests go here first. We must check whether copyright needs to be applied to the request. If copyright surcharges apply, you will be notified.

Awaiting Request Processing - after a request has been cleared through copyright, it lands in this queue. Requests are handled on a sequential basis.

Request Sent - the request has been ordered from another library.

Awaiting Document Delivery Processing / In DD Stacks Searching - the requested item is in the library's print collection. It is in the process of being pulled and scanned.

Customer Contacted - if there is an issue with your request (billing question, copyright issue, etc.), this status signifies that an email was sent to you with the information and questions. If you did not receive an email, log into your McGoogan Docs account and click Notifications from the left-hand menu. All communications are logged here.

Delivered to Web - the article is now available for downloading from within your McGoogan Docs account

Request Finished - Web delivered articles expire after 30 days and are set to this status. If you chose to pick up your article, you will have received an email notice and this status will appear with your request information.

Checked Out to Customer - if you requested a book, this status indicates that we have received it and checked it out to your McGoogan Docs account. You should have received an email notification that it is ready to be picked up at the Circulation Desk.

Can I cancel a request?

You can cancel a request yourself if it has not been processed. To cancel, go to the Requests in Process section, click on the Transaction number, then click the link at the top of the page titled Cancel Request. If your request is already in a processing queue, you will not see that Cancel link. To cancel, you must contact the Interlibrary Loan Department at 402-559-7085. We will make every effort to cancel the request; however, if the item has already been processed by the lending library, we may not be able to cancel the request. In those cases, charges will still apply.

Why do I need a username and password to use McGoogan Docs?

Your username and password allows us to give you secure access to information about your interlibrary loan requests. We can also enable you to edit your personal information such as your address or phone number. McGoogan Docs unfortunately does not interact with the UNMC Net ID system.

Your username can be anything you like, such as your name, abbreviations, or an alphanumeric code. We recommend that you use your UNMC Net ID (e.g. jdoe). Your password also can be anything you like. We recommend that you follow good security practice and choose a password that is different from those you use to access other systems. However, no one but you will know your password, not even the library staff. The password you set is stored in an encrypted file.

What if I forget my password?

In the event that you forget your password

  1. Check below the McGoogan Docs header for your password hint,
  2. Click the Forgot Password? link to reset your password, OR
  3. Contact the Interlibrary Loan Department at 402-559-7085.

What Web browser should I use?

You need a Web browser that can handle forms, tables, and preferably Cascading Style Sheets (CSS). We recommend the current versions of either Microsoft Internet Explorer or Mozilla Firefox.

Is security a problem if I use a public workstation?

Yes. Web browsers cache information and create a history file on the local workstation. This allows a subsequent user of the workstation to access the system under your name using the browser's Back button to recall a page from the cache, or by finding a page with your personal information in the browser's history file. If you are concerned about the security of your interlibrary loan requests, you can take the following steps:

  1. Access McGoogan Docs only from your personal computer or an otherwise secure workstation.
  2. Delete from the history file those pages that contain your personal information.
  3. Exit from the Web browser before you leave the workstation. This prevents the Back button from accessing the pages you were using.

If you are paying for your request with a credit card, please call the Interlibrary Loan office (402-559-7085) with this information. McGoogan Docs is not a secure system for credit card information.

Why does my browser say that you're sending a cookie? What's in it?

The technology that we use sends a Session ID to be stored on your machine. You can refuse this cookie and still be able to use McGoogan Docs without any problems.

Why don't I see all my older requests when I look at my request history?

From time to time we purge older records from McGoogan Docs. Our policy is to keep requests online for several years order to comply with record keeping requirements of the copyright law.

How will I receive requested items?

Many libraries ship photocopies of articles to us in electronic format. In the past we emailed them to you. Now, through McGoogan Docs, we are able to offer you electronic delivery of these articles in PDF format (Adobe's Portable Document Format).
